How to manage profiles and listings of exhibitors for your event

How to add exhibitors to the application?

If you are organizing an event where the exhibition of your event's partners is particularly important (fairs, conferences with a dedicated space for Partners), this module is the best place to gather all the information and contact details about the exhibitors. A clear list of exhibitors, highlighting VIP statuses, will make it easier for participants to freely browse profiles and find the content they are looking for, and even redirect them to the exhibitor's booth on the interactive map!

Adding exhibitor profiles - basic information

To add new exhibitors to the list, select the Content section in the top menu, and then the Exhibitors module in the side menu. While in its editing mode, at the bottom of the page, select the (+) Add new exhibitor icon. Only the exhibitor's name is required to create a new profile. It is worth completing the exhibitor's profile with more detailed information, such as a logo, website address, YouTube channel, or contact person with whom you can arrange a meeting during the event if necessary. With a complete description, you will enable event participants to better familiarize themselves with the participating companies, thus influencing their appropriate exposure:

ADD EXHIBITOR TAGS – with this feature, you can create keywords that, when entered into the search engine, will help participants find a collection of exhibitors marked with this phrase. This feature allows you to group exhibitors according to any type of activity.

Website URL – add the exhibitor's website to increase its exposure, which will benefit the exhibitor.

Promotional Video URL on Youtube – add a video from the Youtube channel, which will significantly enhance the exhibitor's profile.

VIP Status – by selecting this option, the indicated exhibitor gains VIP status, which allows the profile to be displayed at the top of the exhibitor list in the mobile app, along with a visible VIP icon. It also provides the opportunity to supplement the profile with an additional photo that distinguishes it in the mobile app and on the dedicated event Landing Page.

Social Media – here you will add links to the exhibitor's social media profiles in the mobile app. You can decide whether you want these links to be displayed only for logged-in participants by selecting the option Only for logged-in users.

Contact with the exhibitor during the event

In the app, you can indicate who represents a given exhibitor. To do this, choose one of the two available options:

  1. CONTACT PERSONS – by selecting the icon +, you proceed to create a profile for the exhibitor's representative. Their contact details will be visible to all event participants in the mobile app and on the dedicated website, but will not allow direct contact in the app and event Landing Page.


  2. COMPANY REPRESENTATIVES AT THE EVENT – by clicking the button Select user a list of all event participants (logged in or imported) opens, from which we select representatives. Choosing this option is recommended because it allows for direct interaction between the participant and the representative in the form of a direct text message or individual video call. Other participants browsing your exhibitors' profiles can send a private message to the company representative to arrange a meeting or discuss, for example, a product or service presentation also shared in the company profile:

NOTE!

A representative of the type Contact user at the event must log in to the app beforehand or should be imported into it to enable adding them to the exhibitor's profile. They will also be visible as a participant in other modules, such as Business Matching or Attendees.


Contact details – you can also add contact details in a more traditional way by inserting the company's email address or phone number in this section. Also decide whether this information should be publicly available. Selecting the button Only for logged-in users will make it visible only to logged-in participants.


Import exhibitors into the application

A bulk method of entering exhibitor information is data import. Learn how to import exhibitors into the Meeting Application panel:

Link to live streaming from the event

If the event is held online, you can add a link to live streaming, a webinar conducted by the exhibitor, or a previously recorded video. Such a link allows the exhibitor to add additional materials.

Interactive Map of the venue with exhibitor booths

To create an interactive map of the event, add the Interactive Map module to the application. Learn more about the Interactive Map in this article. It supports participant navigation around the venue during the event and allows for displaying the exhibition space, including other exhibitors' booths. If needed, you can add multiple exhibitor profiles to the created booth. Each exhibitor profile added this way will have the Show on map function, which will help participants easily locate the one they are looking for.

Dedicated Files with Exhibitor's Offer

You can add any file(s) to the exhibitor's profile, such as the current offer, a list of available products during the event, or the exhibitor's presentation. This will allow participants to get to know the exhibitor better before the event and give the exhibitor the opportunity to highlight a prepared special offer, for example. The file can be added in jpg, pdf, or png format.

Exhibitor Moderator

As the event organizer, you play a key role in managing communication with exhibitors and ensuring that all necessary information is provided during the process of completing their profiles. To streamline this process, we have created the Exhibitor Moderator feature, which allows Exhibitors or Partners of your event to independently complete their profile.

Order of Exhibitors on the List

You can move created profiles by clicking and holding them with the mouse to move them to a different position on the list. Profiles with VIP status will always appear first on the list. If you want to sort the entered profiles alphabetically (ascending or descending), use the icon in the upper right corner.
