How to add exhibitors to the app?
If you're organizing an event where the partner exhibitor area is especially important (trade shows, conferences with dedicated Partner zones), this module is the perfect place to gather all the information and contact details about the exhibitors. A clear list of exhibitors will help participants freely browse profiles, find the content they're searching for, and even direct them to the exhibitor's booth on the interactive map!
Adding exhibitor profiles - basic information
To add new exhibitors to the list, in the top menu, select the section Content, and then in the side menu, select the module Exhibitors. While editing it, at the bottom of the page, click the icon (+) Add new exhibitor. The only required field for creating a new profile is the exhibitor's name. It's recommended to fill the profile with more detailed information, such as the logo, website address, YouTube channel, or contact details for someone who can be reached during the event. A complete profile helps participants get to know the participating companies better and ensures proper exposure for them:
ADD EXHIBITOR TAGS – with this feature, you can create keywords that, when entered into the search bar, will help participants find a group of exhibitors tagged with that phrase. This feature allows you to group exhibitors according to any type of activity.
Website URL – add the exhibitor's website to increase its exposure, which will benefit the exhibitor.
Promotional Video URL on YouTube – add a video from the YouTube channel to significantly enhance the exhibitor's profile.
Social Media – here you can add links to the exhibitor's social media profiles in the mobile app. You can choose whether to display these links only for logged-in participants by selecting the Logged-In Only option.
Contact with the exhibitor during the event
In the application, you can indicate who represents a specific issuer. To do this, choose one of the two available options:
CONTACT PEOPLE – by selecting the icon +, you proceed to create a profile for the exhibitor's representative. Their contact details will be visible to all event participants in the mobile app and on the dedicated website, but they won’t enable direct contact in the app or the event's Landing Page.
COMPANY REPRESENTATIVES AT THE EVENT – by clicking the button Select user a list of all event participants (logged in or imported) opens, from which representatives can be chosen. This option is recommended because it allows direct interaction between a participant and the representative, in the form of a private text message or a one-on-one video call. Other participants, while browsing the profiles of your exhibitors, can send a private message to the company representative to schedule a meeting or discuss, for example, the product or service presentation shared in the company’s profile:
A representative of the type Contact Person at the Event must log in to the app beforehand or be imported into it to enable adding them to the exhibitor's profile. They will also be visible as a participant in other modules, such as Business Matching or Attendees.
Contact information – you can also add contact information in a more traditional way by inserting an email address or company phone number in this section. Decide whether this information should be publicly accessible. Selecting the Logged-in only button will make it visible only to logged-in participants.
Importing exhibitors into the app
The collective method of adding information about exhibitors is data import. Learn how to import exhibitors into the Meeting Application panel in a separate article!
Live streaming link from the event
If the event takes place online, you can add a link to live streaming, a webinar hosted by the exhibitor, or a previously recorded video. Such a link allows the exhibitor to add extra materials.
Interactive venue map with exhibitor booths
To create an interactive event map, add the module Interactive Map. Learn more about the module in the Interactive Map article. It supports participant navigation at the venue during the event and allows showcasing the exhibition space, including other exhibitors' booths. If needed, you can add multiple exhibitor profiles to the created booth. Each exhibitor profile added this way will gain the Show on map feature, which helps participants easily find the exhibitor they are looking for.
Dedicated files with the exhibitor's offer
You can add any file(s) to the exhibitor's profile, like the current offer, a list of available products during the event, or the exhibitor's presentation. This allows participants to better get to know the exhibitor before the event and also gives the exhibitor a chance to highlight a prepared special offer, for example. The file can be added in jpg, pdf, or png format.
Exhibitor Moderator
As the event organizer, you play a key role in managing communication with exhibitors and ensuring that all necessary information is delivered during the process of completing their profiles. To streamline this process, we created the Exhibitor Moderator feature, which allows exhibitors or partners of your event to independently complete their profiles.

Order of exhibitors in the list
You can move created profiles by clicking and holding them with your mouse to drag them to another position on the list. Profiles with VIP status will always appear at the top of the list. If you want to sort the entered profiles alphabetically (ascending or descending), use the icon in the top right corner.

Have an awesome event with Meeting Application!
