Booking/reservation - room reservation

Room reservation through an application or admin panel is a modern and convenient way to book a specific room or item for a specified day and time. This method of reservation has many advantages - it provides easy access to information about available places and dates, shortens the reservation process time, and does not require physical contact with the administrator.

How to make a room reservation?

The "Booking/Reservation" module allows event organizers to provide places that participants can reserve on the days and times specified by the administrator. In the first step, go to the "Create" section and then to the aforementioned module. In the next step, add the day/days of the event during which reservations will be possible.

Next, click "Manage places" in the top right corner and add a list of buildings and rooms that will be available to event participants, as well as a filter that informs about the nature of the reservation.

To add a new place, such as a hotel or building, enter its name in the "Add new building" field, type the name, and then click the "Add and save" button.

Next, under the name of the added building, an icon "(+)" will appear, allowing you to add a room. Using the "plus" you can add several rooms/halls in a given building.


PRO TIP

Depending on the nature of your event, you can use this module not only for booking buildings or halls but also, for example, for booking fields - in the case of sports or entertainment events. For outdoor events, you can also offer participants the reservation of bicycles, scooters, or even cars.

After adding available places, it's time to create a session. In the "Booking/reservation" module, click the "(+) Add session" icon in any time slot or in the bottom right corner.

In the next step, fill in information such as the session title, day, time slot, and time (in minutes) allocated for each reservation. Then, select a specific location and session filter from the list of previously created buildings and rooms, and save the changes made.

You can also set until what time participants can make reservations for the next day. To do this, move the Maximum reservation time for the next day slider to the right, then enter your chosen time and click Save:

Session Management

In the "Manage" section, in the "Booking/Reservation" module, you can manage all reservations. In the top right corner, there are reservation status tabs, such as "Pending", "Accepted", and "Rejected".

Every user who has joined the event can create their reservation through the Mobile App. From the side menu, the participant selects "Booking/Reservation", clicks "Create reservation" at the bottom of the screen, and then fills in the required information. The "First and Last Name" field is filled in automatically, so in the next field, they enter their phone number and select from the list the discipline, available building, room, and choose the reservation time. From the user's level in the app, only a reservation that has not yet been accepted can be canceled.

Each reservation created by the App user goes to the admin panel, to the "Pending" tab, where as an administrator you can confirm or reject participants' reservation requests. To accept a given reservation, click the checkbox on the left side to select a specific reservation, and then click "Approve".

After performing this action, the reservation is moved, both in the admin panel and the User Application, to the "Accepted" tab. The participant will receive a PUSH notification with information about the reservation acceptance. If changes occur and as an organizer you need to cancel a specific reservation, check the checkbox and then click "Reject". The canceled reservation will appear in the "Rejected" tab, and the event participant will receive a PUSH notification with information about the cancellation of their reservation.
