If you're organizing an event where showcasing your partners is really important (like fairs or conferences with a special area for Partners), this module is the best place to gather all info and contact details about the exhibitors. A clear exhibitor list will make it easy for participants to browse profiles, find what they need, and even get directed to an exhibitor's booth on the interactive map!
To add new exhibitors to the list, pick the Content section from the top menu, then choose the Exhibitors module in the sidebar. In its editing view, at the bottom of the page, just click the (+) Add new exhibitor icon. To create a new profile, you only need the exhibitor's name. It's a good idea to fill in more details, like a logo, website URL, Youtube channel or a contact to someone available during the event if needed. With a complete profile, you'll let participants get to know the companies better, and that'll help give them the right exposure:
Name - this is the company name of the exhibitor
Scope - this is what they do or their industry, like Gastronomy, Automotive, Consulting, IT
Description - which means info about the company, letting Attendees get to know the company's profile even before the event starts
Logo - helps boost recognition and show off your logo on the Landing Page and in the event's Mobile App. Required ratio 1:1.
Banner - this is a background photo where your logo will be displayed on top. Required ratio 2:1.
Photo gallery - lets you make a gallery that people will see when they visit the exhibitor's profile. The gallery only works in the mobile app.
Add attachments as downloadable files like leaflets, catalogs, sales presentations or offers.
Add exhibitor tags – with this feature, you can create keywords that, when typed into the search, will help attendees find groups of exhibitors marked with that phrase. This feature lets you group exhibitors however you want based on type of business.
Website URL – add the exhibitor's website to give it more exposure, which benefits the exhibitor.
Promotional Video URL on Youtube – add a video from your Youtube channel to make your exhibitor profile stand out.
Social Media – here you can add links to the exhibitor's social media profiles in the mobile app. You can choose if you want these links to be shown only to logged-in attendees by selecting the Only for logged-in option.
In the app, you can specify who represents a given exhibitor. To do this, pick one of two available options:
CONTACT PERSONS – by picking the + icon, you start creating the profile of the exhibitor's rep. Their contact details will be visible to all event attendees in the mobile app and on the dedicated web page, but it won't let you reach out directly in the app or the event Landing Page.
COMPANY REPRESENTATIVES AT THE EVENT – by clicking the Choose user button, you'll see a list of all event participants (logged in or imported), from which you can pick reps. This option is recommended because it lets attendees interact directly with the rep via text message or a 1-on-1 video call. Other attendees, while viewing your exhibitors' profiles, can send a private message to a company representative to set up a meeting or chat, for example about a product or service presentation shared in the company profile:
Contact details – you can also add contact info in a more traditional way by putting your company's email or phone number into this section. You can also choose if this info should be publicly visible. Clicking the Logged-in only button will make it show only for users who are logged in.
The bulk method for adding exhibitor info is data import. Find out how to import exhibitors to the Meeting Application panel from THIS ARTICLE.
So these are graphic elements that make sure your profile stands out on the event's full exhibitor list. Add a logo with a 1:1 ratio and a background banner to graphically encourage attendees to visit your booth.
If your event is happening online, you can add a link to a live stream, a webinar hosted by the exhibitor, or a video that's been recorded in advance. This way, the exhibitor can share extra content.
To create an interactive map for the event, add the Interactive Map module to the app. Learn more about theInteractive Map article. It helps attendees navigate around the venue during the event and lets you show the expo space along with other exhibitors' booths. If you need, you can add several exhibitor profiles to the booth you've just created. Each profile you add this way gets aShow on map feature, which makes it super easy for attendees to find who they're looking for.
Add exhibitor profiles ahead of time and let your event attendees create a list of companies they're interested in. The mobile app lets users save any chosen profile so they don’t miss any booth during the event.
It works great at trade shows or events where your partners want to show off what they do with a gallery of photos. Images added in the panel will show up in the Exhibitor's profile in the mobile app.
You can add any file(s) to the exhibitor’s profile, like the current offer, a list of products available at the event, or a presentation of the exhibitor. This lets attendees get to know the exhibitor better even before the event, and also gives the exhibitor a chance to highlight, for example, a special offer. The file can be added in jpg, pdf, or png format.
As the event organizer, you play a key role in managing communication with exhibitors and making sure all the necessary information gets delivered during the process of filling out their profiles. To make this smoother, we’ve created the Exhibitor Moderator feature, which lets Exhibitors or Partners of your event fill out their profiles by themselves.
Check out how to assign the Exhibitor Moderator role in Meeting Application in THIS ARTICLE.
You can move created profiles by clicking and holding them with your mouse and dragging them into a new position on the list. Profiles with VIP status will always show up first. If you want to sort the profiles alphabetically (A–Z or Z–A), just use the icon in the top right corner.
Have an awesome event with Meeting Application!
